The client, to be named Nurse Staffing Agency (NSA) for this case study, competes for contracts from hospitals and state healthcare agencies to provide staffing services. On Friday, October 1st, NSA secured a contract to supply 3,000 traveling nurses to a hospital chain in California facing an imminent strike. The strike, set to begin within 10 days, required the swift relocation, onboarding, and training of these nurses. NSA needed Cain Travel to arrange approximately 1,500 double-bedded hotel rooms across three major cities: San Diego, Los Angeles, and Sacramento. Additionally, each city required at least 10,000 square feet of meeting space to accommodate onboarding and training sessions.

The tight timeline, with nurses expected to arrive starting Monday, October 4th, required Cain to identify, negotiate, and secure contracts with hotels in an exceptionally short time period.

October 1st-6th: Cain’s team worked around the clock to find suitable accommodations and meeting spaces. By Wednesday, October 6th, Cain Travel had negotiated and secured contracts with five hotels in each city. From here Cain pieced together the remaining needed sleeping rooms at nearby hotels, attempting to minimize the total number of hotels used. Due to the fluid nature of the project, Cain ensured flexible cancellation and performance terms were included within each contract.

October 4th-11th: Nurses began arriving on October 4th at the designated hotels, for onboarding and training. The primary meeting spaces in the hotels were fully operational, hosting the essential training sessions. On October 11th, the strike began, and the traveling nurses were assigned shifts. They were transported from the hotel to the hospital so that the hospital could treat its patients as normal for the full extent of the strike.

Outcome

Within 10 days, Cain Travel had successfully arranged lodging for all 3,000 nurses across 15 hotels in San Diego, Los Angeles, and Sacramento. The efficient execution of this operation ensured that the hospital chain could continue to provide patient care despite the strike.
